The Opportunity

The Events and Marketing Coordinator is a dynamic role responsible for planning, coordinating, and delivering high-quality events and marketing initiatives that enhance the school’s profile, engagement, and community presence. This position supports the school’s strategic objectives by managing event logistics, assisting with marketing campaigns and stakeholder engagement, ensuring seamless execution and positive experiences for students, staff, and the wider community.

All positions at St Gabriel’s School ultimately report to the Principal. The Events and Marketing Coordinator will report directly to the Marketing and Fundraising Manager for day-to-day operations.

Key Responsibilities

Events and Marketing

  • Lead the planning and delivery of school events, both internal and external, ensuring smooth execution and positive experiences for all participants.

  • Collaborate with the Marketing and Fundraising Manager for guidance on marketing activities and overall event strategy, and work closely with the Executive Team and wider administration to ensure alignment and support.

  • Adhere to project deadlines and budgets while integrating risk management into all event planning and delivery.

  • Provide support to the Marketing and Fundraising Manager with fundraising campaigns and marketing initiatives.

  • Assist in taking photographs for social media when required.

  • Manage administrative systems and databases, including marketing, fundraising, and community databases.

  • Track, plan, and resource tasks associated with school events and external engagements.

  • Source and engage reliable suppliers for events, canteen, coffee van and other school projects.

  • Maintain the school’s event inventory (cups, plates, and other resources).

  • Provide administrative support to the Marketing Department

  • Be available for after-hours and weekend events as required.

Canteen and Coffee Van Support

  • Assist in managing the school canteen, including stock ordering, compliance with health and nutrition standards, and management of food intolerances.

  • Manage the day-to-day operations of the coffee van, Abilities Brew, including bookings, stock management, preparation, transport and operation.

Volunteer and Stakeholder Management

  • Assist in managing volunteers for events, canteen, and coffee van.

  • Coordinate the Parent Events Committee to support event planning and execution.

  • Develop and maintain positive relationships with key stakeholders and sponsors.

  • Provide excellent customer service to staff, families, and the wider school community.

Internal School Support

  • Support internal school events in collaboration with the Executive and the administration team.

  • Undertake other duties as directed by the Marketing and Fundraising Manager and School Executive to support the School’s objectives.

Other Essential Skills & Knowledge

  • Proven experience planning and delivering successful events from concept to execution.

  • Demonstrated ability to secure and manage sponsorships, building mutually beneficial relationships.

  • Ability to manage high-volume, fast-paced workloads consistently and effectively.

  • Strong attention to detail

  • Strong teamwork and collaborative skills.

  • Excellent communication skills.

  • Proficiency in the Microsoft Office Suite (Word, Excel, Powerpoint, Outlook).

  • Experience using event management and ticketing platforms (eg. Eventbrite, TryBooking).

  • Current Senior First Aid Certificate.

  • Current NSW Working with Children Check (WWCC) clearance.

  • Driver’s licence and willingness to drive school vehicles.

Work Health & Safety

The School Events and Marketing Coordinator will actively support and contribute to the maintenance and development of a safe working environment by:

  • Reporting incidents and accidents using the designated School systems and processes as soon as possible.

  • Complying with School policies and procedures.

  • Maintaining food safety supervisor training (provided by the School).

  • Maintaining and developing safe food handling and safe events protocols for canteen, coffee van & events.

  • Comprehensive knowledge of, and experience in, development of risk assessments and mitigation strategies in event planning and delivery.

  • Supports the development and maintenance of best practice WHS culture.

  • Adhere to safe work practices.

  • Participates in relevant WHS training programs.

  • Provides appropriate WHS training for persons using designated areas.

  • Includes WHS goals and responsibilities in their role descriptions and performance plans in consultation with their supervisor.

Selection Criteria

  • Commitment to the Catholic and Edmund Rice ethos of the School.

  • Willingness to undertake ongoing professional development.

  • Proven experience in event management, marketing, and stakeholder engagement.

  • Strong organisational, administrative, and communication skills.

  • Ability to work collaboratively as part of a team while managing multiple priorities.

  • Demonstrated commitment to the NSW Office of Children’s Guardian Child Safe Standards.

  • Current Working with Children Check.

  • Australian Citizen, permanent resident or a valid visa with full working rights in Australia.
